JOB SUMMARY
The Office Manager has a vital support role, overseeing contracts, orders, and billing and assisting corporate financial operations to ensure the smooth functioning of the office. This position requires exceptional organizational skills, attention toa detail, and effective communication with various departments, including Sales, Finance, and Corporate Operations. The Office Manager will manage contracts, prepayments, billing adjustments, programmatic entries, and audit coordination processes.
Responsibilities:
- Ensure that contracts and agreements are fully executed using DocuSign.
- Review and approve orders in Marketron, focusing on accuracy and compliance with company policies.
- Approve and publish finalized orders and ensure proper record-keeping for audit purposes.
- Submit programmatic orders for entry, ensuring timely processing and coordination with digital operations.
- Process monthly billing and review for accuracy, making billing adjustments as necessary.
- Manage cash-in-advance (CIA), prepayments, and refund requests, working closely with Finance to ensure timely reconciliation.
- Assist with client account research and analysis to resolve account issues and provide insights to management.
- Prepare and distribute daily, weekly, and monthly sales reports for management, offering insights into performance and trends.
- Generate sales reports and analyze Digital Operations, identifying areas for optimization and growth.
- Serve as the liaison between Sales and the Corporate Office to gather necessary items for audit selections, ensuring timely and accurate responses.
- Act as the local point of contact (POC) for questions on expense policies and provide guidance on the proper usage of the Ramp expense management platform.
- Reconcile vendor invoices, communicate relevant information to all markets, and ensure accurate processing (potential new responsibility).
- Manage client setup forms to ensure accurate onboarding in financial and operational systems.
- Support Account Executives (AEs) by scanning checks and confirming client approvals for new orders and changes are documented.
- Provide sales reports to management, including daily, weekly, and monthly updates and insights into digital operations.
- Ordering of supplies at location.
